Creating Templates for Common Writing Tasks

Why the Blank Page Costs You More Than You Think

Most of us can type considerably faster than we can think of what to type. That gap is where the trouble lives. When you sit down to write a difficult email or a quarterly report, your fingers are ready long before your brain is, and the pause that follows is rarely productive. You stare, you shuffle a few words, you delete them again. Twenty minutes later you have a paragraph and a mild sense of resentment.

Templates fix this by separating two jobs that are much easier done one at a time: deciding what to say, and deciding how to say it. A good template settles the structure in advance, so under pressure you are only filling in the substance. It also protects you on the days when you are tired, rushed, or writing something emotionally delicate. The shape carries you even when your judgement is frayed.

None of this requires special software. A plain document or a folder of notes is enough.

What Makes a Template Worth Keeping

The templates that actually get reused share a few qualities.

  • They are short. A template that runs to two pages will not be read, let alone used. Aim for a skeleton you can take in at a glance.
  • They prompt rather than dictate. Use square brackets for the parts you must supply: [name], [specific figure], [the one thing you need from them].
  • They keep their best sentences. If a particular opening line reliably softens a difficult message, keep it. That is the whole point.
  • They include a length guide. "Two short paragraphs" is a useful instruction when you are in a hurry.

Name them clearly: client-chase, weekly-update, proposal-short. Fancy systems collapse; findable filenames survive.

Templates for the Emails You Send Every Week

Most people send the same four or five emails on repeat. Identify yours and build a template for each.

  • The chase. A friendly line acknowledging they are busy, a one-sentence reminder of what is outstanding, a clear ask with a date.
  • The introduction. Who you are, why you are writing, the single action you would like, and an easy way to say no.
  • The update. What has happened, what it means, what happens next. Three headings, three short paragraphs.
  • The decline. Thank them, say no plainly once, offer an alternative if you genuinely have one, close warmly.

Keep the greeting and sign-off fixed, and resist the urge to over-explain. The discipline of a template often makes an email warmer, not colder, because it stops you padding.

A Report Structure That Scales

Reports vary enormously in length, but the underlying shape barely changes.

  • Purpose. One or two sentences explaining why this document exists and who it is for.
  • Summary. The findings and recommendation in plain terms. Write this last, place it first.
  • Background. Only what a reader needs to follow the argument.
  • Findings. Evidence, numbers, observations, each under a short heading.
  • Recommendation. What you want to happen, and what it will cost.
  • Next steps. Owners and dates.

Having a standard skeleton makes longer documents far quicker to draft, and it makes them easier for readers to skim. It also gives you somewhere to put the awkward bits: if you have a heading called "risks", you are far more likely to mention them.

Proposals: Selling the Same Idea Again and Again

A proposal template is less about the words and more about the order in which you make your case. Most persuasive proposals move through five stages: the problem as the client experiences it, your approach, evidence that it works, the cost and what it includes, and a single clear next step.

What you should vary is everything that proves you were paying attention: the client's language, their constraints, their deadline. The structure stays; the specifics change. Keep a bank of three or four openings you have used successfully, and a paragraph explaining what you need from the client to begin. That last one saves a fortnight of confused emailing.

Keeping Templates Alive

A template written once and never revisited becomes a straitjacket. Review yours every few months, and pay attention to two signals. The first is wherever you consistently pause or rewrite: that is a gap in the template, so add a prompt. The second is wherever you consistently delete a section: that is dead weight, so cut it.

Keep a swipe file too. When you write something that lands well — an apology that is accepted, an update that prompts no follow-up questions — save the shape of it before you forget. Over a year, that file becomes the most useful document on your machine.

Finally, treat templates as a starting point rather than a finished product. The best ones give you a running start and then get out of the way, leaving room for the specific, human detail that makes a piece of writing worth reading.
