Why the Small Seconds Add Up

If you write for a living — or even for a good chunk of your working day — you will perform the same handful of actions hundreds of times. Reaching for the mouse to highlight a sentence, right-clicking, choosing copy, clicking back into position, right-clicking again, choosing paste. Each round trip costs only a few seconds, but multiply that by fifty times an afternoon and you have lost the best part of half an hour.

The remedy is not a faster typing speed. It is keeping your hands on the keyboard and letting your fingers do the travelling. Most of the shortcuts below work in almost every program you are likely to use, from word processors and email clients to browser text boxes and spreadsheets. On Windows and most Linux systems the modifier key is Ctrl; on a Mac it is Command. Everything else is identical.

The Copy, Cut and Paste Core

Start with the trio you will use more than any other.

• Ctrl + C copies whatever you have selected.
• Ctrl + X cuts it, removing it from where it was.
• Ctrl + V pastes it at the cursor.

If you are used to right-click menus, these three alone will save you a surprising amount of time. Press them with your left hand while your right stays near the arrow keys, and you barely break your rhythm.

Two refinements are worth knowing. First, Ctrl + Shift + V pastes as plain text in many programs, stripping out the unwanted fonts, colours and links you have picked up from a website — a single combination that solves a great deal of formatting frustration. Second, Ctrl + Z undoes your last action and Ctrl + Y (or Ctrl + Shift + Z) redoes it. Paste something in the wrong place and you never need to hunt for it: undo, click where you meant to be, paste again.

Moving Around Without Reaching for the Mouse

Mouse travel is the real thief. Jumping from keyboard to mouse and back costs you your place in the sentence and a moment of concentration.

• Home and End take you to the start and end of the current line.
• Ctrl + Home and Ctrl + End take you to the very top and bottom of the document.
• Ctrl + Left Arrow and Ctrl + Right Arrow move one whole word at a time.
• Ctrl + Up Arrow and Ctrl + Down Arrow move a paragraph at a time.
• Page Up and Page Down scroll a screenful without shifting your cursor.

The word-by-word jump is the one that changes how writing feels. Instead of tapping the arrow key fifteen times to get back to the start of a clause, you press it twice and land exactly where you want to be.

Selecting Precisely, and Fast

Selection follows the same logic. Hold Shift and any of those navigation keys will select rather than simply move.

• Shift + Left/Right Arrow selects one character at a time.
• Ctrl + Shift + Left/Right Arrow selects a whole word.
• Shift + Home selects back to the start of the line; Shift + End selects to its end.
• Ctrl + A selects everything in the current field or document.

One more is worth committing to memory: double-click selects a single word and triple-click selects a whole paragraph. Old mouse habits still earn their keep.

Correcting Mistakes as You Type

Accuracy improves when fixing errors is cheap, and a few shortcuts exist purely to make correction almost instant.

• Ctrl + Backspace deletes the entire word to the left of the cursor.
• Ctrl + Delete deletes the whole word to the right.
• Ctrl + F opens the find box in most programs — far quicker than scrolling to check whether you have already used a phrase.
• Ctrl + S saves. Press it often; a saved document is one you cannot lose.

That first pair is quietly transformative for anyone who mistypes a long word. One press clears it instead of eight.

Making the Habit Stick

Do not try to learn all of this at once. Pick three shortcuts this week — copy, paste and the word-jump with Ctrl + Arrow, say — and use them deliberately until your fingers reach for them without being asked. Add another two the following week. Within a month you will have absorbed the whole set almost by accident.

You can also make a game of it: for one writing session, try not to touch the mouse at all. You will fail, but the failures will show you precisely which shortcuts still escape you. Keep a small note beside your keyboard until they stick.

Speed matters less than flow, in the end. The real gain from shortcuts is not the seconds saved but the uninterrupted thought — the sentence you were halfway through when you had to go searching for the clipboard.
